One-Time Services:
Current Client Fee True-up Service. Included in this package is our “current client fee true-up services for three of your clients. This service takes a look at selected client contracts (generally ones that have been under contract for long periods of time) and compares the fee initially agreed to at the time of the contract and calculates what that fee should be today, had it been properly adjusted commensurately with the annual CPI indices (local, regional and national comparisons are included). You can see all of the details in our Current Client “Fee True Up” Calculator as described under our products section of this website. With this package, we include this service for three clients. The difference between this service and the product is that in this case we actually push the buttons to run the calculations and simply present you with the output. That way you don’t have to learn the application. However, if you wish to run it across more of your communities, you can purchase the application under this service at one half of the price listed for the product.
Annual Services:
Performed initially within the first week of service and then annually thereafter, other than the exception noted related to the “pricing analysis services” as shown below.
Listing and updating of all of the condos and HOAs in the state (testing shows this is 95% or more complete and accurate). It will include over 19,000 communities and in a format in which you can sort, massage and expand data.
Management Company Listing. We will also include in the list each community’s then-current management company (updated to at least within 1 year). We include only management companies that are “of consequence” in the industry, but we use a liberal interpretation, including any with at least 5 community associations as clients (according to our research).
Statistics on market share. This will include a market share assessment for the community association management industry across the Washington State market. This assessment will include your company as well as your competitors. It will be presented as a percentage of all associations in the state of Washington. Additionally, this same data will be shown as a percentage of only the “occupied market” (those that use a bona fide management company). This will be updated annually and include trending after a long enough period of time to determine a trend.
Comparative Statistics on client retention. We will create for you a comparison of your client retention compared to the industry and also as compared to your top competitors in the state. These other competitors will not be identified by name, but only by size bands and regions.
Pricing Strategy Analysis. This service will provide you with an assessment of your pricing strategy as compared to the aggregated strategies of a group of others in the industry. This is based on 6 different typical community profiles (i.e. 25 unit condominium, 100 lot HOA, etc.). In order to keep in abidance with antitrust laws and in order to protect each individual company’s strategies, we will only offer aggregated and anonymized data, and only for up to about 10 management companies. These two rules are part of antitrust compliance which requires the avoidance of specific pricing strategy AND industry wide coordination. Your report will show your pricing for the different categories along with the average, high and low of the others in the survey. The timing of the creation of this report will be based on the gaining enough “takers” of this part of our service to make the analysis statistically reliable and to be certain of anonymity.
Monthly Services:
Reputation Assessment. On a monthly basis we will submit to you the current reputation assessment for your company as it compares to your competitors and the local industry as a whole. You will also receive trending data to show your net change as time passes. Our algorithm for ranking includes an amalgamation of ratings collected by Yelp, TrustPilot, Glassdoor, Better Business Bureau, Google Reviews, Facebook Reviews, Birdseye and Indeed.
Weekly Services:
Reputation Management Assistance. We will monitor the “word on the street”, actually in the airwaves about your company. We use several data search systems to find any bad publicity that you may have shown up each day. At the end of each week, you will receive a report as to what we have found. We do not take any efforts to eradicate the negative data, but only report it to your appointed representative.
Ongoing Services:
Option: Lead Generation Services
This part does require you to fill out a survey with 20 questions on it. The survey results in a psychographic analysis of your company’s “personality”. After completion of our survey, we will include you for consideration with associations who are looking for management services. They too must fill out a psychographics survey. I know, I know, you are probably saying “well that seems like an impossible task.” Well, that’s why we get the big bucks. Well, or should I say, “the bucks”, which really aren’t very big. In any event, after we gain psychographic profiles on the parties, we will work to great positive matches, when we get inquires from prospective clients. Matching like kinds will offer a much better chance of a long term and harmonious relationship.
If your company is a good match with a soliciting association, we will offer you the chance to bid services to them. You may reject any such referrals, at any time during the process, if you do not wish to be considered by the association. You will have information regarding the size, location, type of association etc, right up front. If you accept the referral for consideration, you will of course then be given the name of the prospective client and be connected with their decision makers. If they choose to interview your company and you accept the interview, you will be billed an “opportunity fee” which will be between $50 and $200 depending on the size of the prospective client (small, medium, large or extra-large). Additionally, if you win the contract. you will be charged an additional nominal fee of 20% of the monthly contracted price.
The entire Business Intelligence and Analytics Services package is preliminarily set to be priced as little as $195 per month and no more than $395 per month (we can give you an immediate precise quote, based on specifics of your company).
